This information will explain the proccess for making a group booking. The person making the booking, the "group organiser", should note that they are responsible for collecting and passing on all the relevant information about their group - we are unable to deal directly with group participants.

Trigonos seeks to work in as helpful and flexible a way as possible and we are happy to discuss your requirements. Please contact us if you have any questions about your proposed booking. Likewise if you would like a full brochure.

PROVISIONAL BOOKINGS will be held for 3 weeks only. After 3 weeks if the booking is not confirmed with booking form and relevant deposit the booking will lapse.

CONFIRMATION - To confirm the booking we require a completed booking form and relevant deposit.

BOOKING FORM - All sections on first page of booking form should be completed, including any special requirements you know of at the time of booking, or requests that have been discussed. Please note terms of booking on the reverse.

BEDROOMS - Shared twin en-suite rooms will be assumed unless other rooms are indicated. Once specific bedrooms are agreed the allocation of people to rooms is the responsibility of the group organiser. We reserve the right to let unreserved bedrooms and meeting rooms to other visitors.

SPECIAL DIETS can be catered for – it is the group organiser's responsibility to collect and provide this information giving 7 days notice.

EXCLUSIVE USE OF TRIGONOS may be possible. Please contact us to discuss this option.

DEPOSITS - All deposits are non-returnable

PRELIMINARY DEPOSIT to be sent with booking form:
£3 per resident per night (calculated according to anticipated number of residents).

FULL DEPOSIT due 6 months prior to the event
£10.00 per resident per night (further to preliminary deposit).

BALANCE DUE - The balance due is payable by the group organiser prior to departure unless agreed otherwise in advance.

METHODS OF PAYMENT
Payments can be made by the following methods, all in £ sterling:

• Cash
• Personal or business cheque (UK banks only)
• BACS
• Bankers draft or bank transfer
• Travellers cheques
• International Money Order
  

We regret that we do not accept:

• Credit & debit cards
• eurocheques
• personal cheques drawn on non-UK banks
• foreign currency.

TERMS OF BOOKING
1. Bedrooms and workspaces not reserved may be let to other visitors, unless exclusive use has been agreed.
2. Final numbers for the group are required by 7 days prior to arrival. A reduction in numbers before this point will mean forfeit of the deposit paid for those people. We will do our best to accommodate additional participants after this time but cannot guarantee doing so.
3. A reduction in numbers or cancellations without 7 days notice will be charged for at 75% of the full fee; cancellations on or after the first day of the event will be charged in full.
4. 7 days notice is required for any special dietary requirements, otherwise we cannot guarantee catering for these.
5. We will do all we can to keep to the prices given but reserve the right to change prices should exceptional circumstances demand.

BOOKING FORMS can be downloaded here for the convenience of groups organisers. However please do not complete a booking form until you have made a provisional booking with Trigonos and you know that we can meet all your requirements.
